Why is the guest data for a reservation not sent to the authorities?

Reservations are automatically synced only if the check-in date is after the local authorities' setup is complete. You can still send the guest registration details manually if this happens. If the guest's registration is incomplete, please fill out the missing information and send the guest data manually. 

To manually complete the registration and send the guest data to the authorities:

  1. Go to the left-side menu and open Settings, then Online check-in.
  2. Open Guest registration form for authorities.
  3. Open the Bookings tab, and find the reservation for which the data was not sent.
  4. Click on Register guest and fill out the missing details.
  5. Once done, click on Send manually to send the details to the authorities.

Why can't I connect to the local authority?

If you cannot connect your account to the local authority, please review the credentials entered in the corresponding fields. Depending on the connected authority, you may be required to provide additional credentials besides your username and password.

What happens if a booking is cancelled? 

  • In Spain, if a booking is cancelled after it has already been submitted to the police, the cancellation will also be reported to the authorities automatically via booking registration.
  • For guest registration in any other country, once the data has been submitted to the authorities, it is not possible to cancel.

What data are my guests required to provide for properties in Italy?

Italian police requests the document type and number only for the lead guest of the reservation. For the remaining guests, this is not required.

How is the data processed for properties in Spain?

Spanish authorities require two types of data per reservation:

  • Booking registration: 24h after receiving the booking.
  • Guest data: 24h after the check-in date.

How do I generate a Guestbook?

  1. Go to the left-side menu and open Settings, then Online check-in.
  2. Open Guest registration form for authorities.
  3. Click on the rental for which you want to generate a Guestbook.
  4. Go to the Documents tab, and click on Generate Guestbook.
  5. Select the dates (maximum of 31 days), starting number, and email address (optional).
  6. Click on Generate.
  7. A PDF file will be sent to your email. You can also see the generated Guestbook in the Documents tab once it has been created.
    💡 Note: If there are no reservations in the selected date range, the file cannot be generated.

Booking.com is blocking the link from the guest registration form. How do I resolve this?

Booking.com may block unrecognised links from being sent to your guests. To solve this and prevent future issues, you can whitelist the Lodgify URL in your Booking.com Extranet messaging security settings.

💡 Note: You can whitelist the entire Lodgify domain by entering "lodgify.com" when adding a link to your approved links section.
