If you are a property manager or the owner of a tourist accommodation in Spain, there are two things you must report to the authorities (this applies to Mossos, Ertzaintza, and SES Hospedajes):
- The guest information
- The booking information
Guest information
You can send the guest data to the competent authorities by completing the Guest Registration Form for Authorities tab in Lodgify for each rental you manage:
Find out how to send your guest data to the relevant authorities:
💡 Note: Guest data is sent between 20:00 and 23:00 UTC on the day of check-in.
Booking information
We recommend excluding OTAs as sources when exporting the reservations report, since you are only required to report reservation data for bookings made directly through your own website.
For bookings made through platforms like Airbnb, Booking.com, or other OTAs, the responsibility for reporting the data lies with the OTA itself, not with you.
According to the Real Decreto 933/2021, de 26 de octubre, reservation data must be reported at the following times:
- When the reservation is made or the contract is formalized, or, if applicable, when it is cancelled.
- At the start of the contracted services.
To activate booking registration sending on Lodgify, follow these steps:
- Go to your left-hand menu and select Settings and Online check-in.
- Click Guest registration form for authorities, select a rental, and enable the Authority connection if you haven’t done so yet.
- Once connected, you'll be able to enable Booking registration sending.
- To exclude OTAs as sources in the reservations report, select all booking sources except direct bookings.
- Select a Payment method and Save changes.
- Your booking data will now be shared correctly with the authorities, excluding the reservation sources you opted out of.
💡 Note: Booking data will be sent within 24 hours after the booking has been received by Lodgify.
