Set up and edit scheduled messages for your guests (BETA)

💡 Note: This article includes the scheduled messages feature, which is currently in beta. If you don’t see it, please follow this article using the classic instructions instead.

Lodgify’s messaging integration allows you to access default scheduled messages and set up custom scheduled messages that are triggered by specific conditions. For example, you can configure a message that will automatically be sent 5 days before arrival to all guests who booked via Airbnb. These messages can be sent via email, platform inboxes and SMS.
These scheduled messages are intended for your guests. If you want to send automatic messages to your rental contact and/or account contact, follow the instructions provided in this article.

💡 Note: If you want to request information such as guest details, check-in time, and legal ID, you can also use the online check-in form.

Set up a scheduled message

To set up scheduled messages, follow these steps:

  1. Go to your left-hand menu and select Inbox.
  2. Select the Gear icon, then choose Scheduled message.
  3. You will see a list of scheduled messages that are already available by default, as well as any that you may have already created. To create a new one, click Create.
  4. You can now give the message a name and choose the language you will write it in. Make sure to create the message in all the languages configured for your website.

  5. Define a subject, then add the message content. You can use the text editor to insert images, hyperlinks, and attachments, or choose to edit the message in HTML.
    🔎 Example: "Thanks for your booking at {{HouseName}}" automatically becomes "Thanks for your booking at The Seven Sisters Cottage"
    💡 Note: Airbnb and Booking.com do not accept hyperlinks, only plain URLs. Any hyperlinked text sent to reservations from these platforms will be received as plain text.
  6. Toggle on Send additional SMS to enable SMS sending at the same time as the scheduled email. This feature is available free of charge on the Ultimate plan. 
    The SMS will be sent at the same time as the email, but you can enter a different message. You can also use placeholders in the SMS content.

    ⚠️ Important:

    • The guest's phone number must be included in their contact details. If not, the SMS cannot be sent and an error message will appear in your inbox.
    • It is your responsibility to obtain the guest’s consent before sending them SMS messages.
  7. Set the schedule for when the message should be sent, by choosing the number of days before / after the guest's arrival / departure / booking confirmation, and the time when you would like the response to arrive. 
    âš  Important: Scheduled messages are always sent out in the timezone of the associated rental property and may take a few minutes to reach your guests.
    đź’ˇ Note: The sending of scheduled messages depends on reservation factors like quote status and the bookability settings set.   8. Choose the Booking channels (= booking source) for which the automatic response should be sent. (For example, Airbnb and VRBO). Find more information about how to manage your messages by OTA channel.
  9. Choose the Rentals.
  10. Click Confirm. If you want to review a live version of the email, click the three dots in the top-right corner and select Test message. It will be sent to the Account holder's email address, taking the latest booking in your reservation system as an example.

Edit a scheduled message

To edit the message content and settings, follow these steps:

  1. Go to your left-hand menu and select Inbox.
  2. Select the Gear icon, then choose Scheduled message.
  3. You will see your list of scheduled messages. Click on the one you want to modify.
  4. You will be redirected to the message details:
  5. You can then toggle the option on to enable sending the message, or off to deactivate it. The same applies for sending SMS.
  6. Click the pencil icon to modify the content and settings. Once you’ve made your changes, don’t forget to click Confirm to save them.

Disable a scheduled message

To disable a scheduled message, follow these steps:

  1. Go to your left-hand menu and select Inbox.
  2. Select the Gear icon, then choose Scheduled message.
  3. You will see your list of scheduled messages. Click on the one you want to disable.
  4. You will be redirected to the message details. Simply toggle off the Enable message option.
