View and edit a task

Instructions depend on your account version. To see the correct instructions, follow these steps:

Go to the left-hand menu and select Calendar
Choose the version you see in your account:

Former version

There are two different ways of viewing and editing tasks.
In its respective rental, you need to use the Calendar, which is available on the PM Modules website. If you prefer to search and edit a task according to its status Current, Upcoming or Completed, you should use the Team tasks view.

💡 Notes:

  • Only Rental Managers, Admins, or Owners can see the mentioned sections.

In the Team task view, you can see all tasks listed according to their status. This view is available on the PM Modules website as well as in the mobile app, however, tasks cannot be edited in the mobile app apart from changing the inspector or assignee, or marking them as completed.

  1. Go to the PM Modules section, and select Tasks from the sidebar menu.
  2. Now click Team Tasks and select the category the task belongs to (Current, Upcoming, or Completed).
  3. You can search for the task by clicking on All jobs at the top right of the page. To search for the task by user, click All users. To search for the task by rental, click All rentals.

  4. Once you found the task you want to edit, click View and then Edit. You will be able to change anything from the task.

Search and edit a job in the Calendar

💡 Note: You can search and edit a job only on the PM Modules website, not in the mobile app. 
You can use the Calendar to see all direct bookings or bookings that were imported via API, in your respective rentals and organize your jobs. The task calendar uses different color codes to point out tasks that are pending or overdue:

  • Normal bookings are displayed in blue. On top of each booking, you will see the jobs that relate to them.
  • Jobs that don't have any warning will be marked in white
  • Jobs that are assigned to a role but not a particular assignee, appear in light blue.
  • Jobs that are due on the same day, are marked in yellow.
  • Jobs that are overdue but haven't been completed or those tasks that cannot be assigned to anyone because there is no one available with the required role, and access to the rental, will be marked in red.
    💡 Note: You will see the details of the warning inside the task, e.g. when a job is assigned to a role, but nobody has claimed it. In this case, you would usually assign the job to a specific team member. 

💡 Note: Use the arrows in the bottom-right corner to navigate horizontally through the calendar, or hold the shift key of your keyboard while your mouse is on the calendar and move your scroll wheel.

To edit a job in the Calendar, follow these steps:

  1. In the PM Modules section, select Tasks from the sidebar menu.
  2. Then choose Calendar and click View on the job you want to edit. Screenshot
  3. Now click Edit and you can make any changes to the job.

💡 Note: If you edit the dates of a scheduled job, it will not be updated anymore according to the scheduled job settings, as it will now be considered a manual job.

New version

You can find all your tasks in your Calendar section, by clicking Tasks.

Your tasks are ordered chronologically by month. You can change the month using the arrows at the top left to view tasks for months other than the current one.

Task statuses

In this table, you'll find an explanation of the different task statuses:

Task status Description
Pending The task has been created and assigned, but the start time is in the future.
Not assigned The task has been created, but no user has been assigned or has claimed it yet.
Overdue The task’s start time has passed and it hasn’t been marked as completed.
Inspection pending The task requires inspection: the assignee has marked it as complete, but it’s still awaiting approval.
Completed The task has been completed (and approved, if inspection was required).

Editing or deleting tasks

To edit or delete a task, simply click on it, then choose Edit or Delete at the bottom of the page.
You can alternatively click the three dots and select Edit or Delete.

When editing or deleting a task, you’ll be asked whether you want the change to apply only to the selected task, or to that task and all future recurring ones in the case of a scheduled task.

💡 Notes: 

  • Cleaning staff, rental owners, and checking agents can only view tasks linked to their assigned rentals or tasks without a rental.
  • All users can delete their own tasks. Account-holders can delete any task. Admins and rental managers can delete tasks not assigned to them if the rental is unassigned or they have access to it.
