You can create tasks manually, which are perfect for one-off situations that don’t occur with every booking or on a regular schedule. Check out some examples of different types of tasks here.
Instructions depend on your account version. To see the correct instructions, follow these steps:
Go to the left-hand menu and select Calendar.
Then choose the version you see in your account:

Create a booking related task
Booking related tasks are tasks that are attached to a booking. This means, that their start and due dates are relative to the check-in/out times of that booking. You will see them in the Calendar looking the same as all tasks. The difference is that when hovering the mouse over a booking, all its related tasks will be highlighted, and when hovering the mouse over a task, its related booking will be highlighted. Booking related tasks can be created through scheduled tasks or manually.
💡 Note: If you are using scheduled tasks, every new booking received will automatically create a new booking related task according to its settings. Those tasks will be updated automatically by the system every few minutes according to changes made on booking times or changes made on the scheduled task that created it.
To manually create a booking related task, follow these steps:
- Go to the PM Modules section, and select Tasks from the sidebar menu.
- Then choose Calendar and select the booking you want to create the task for.
- Simply click on the booking and click Create task.
- Now give the task a name and description. Select a start date and time and also until when the task is due.
- Finally, select who should complete the task. You can either assign the task to a specific person or to team members of a specific role who have access to the rental.
💡 Note: If you need to include something else which is not shown in the form when you create the task, just click Save. Once created, just edit it, and you will be able to include more details on that task.
💡 Note: This task will only be updated according to changes in the booking's check-in/out times.
Create a manual task
A manual task is a type of task which is not linked to a particular booking nor created thanks to a scheduled task. So you just choose the start and end time of the task and add its details manually.

To create a manual task, follow these steps:
- Go to the PM Modules section, and select Tasks from the sidebar menu.
- Then choose Calendar and select the rental you want to create the task for.
- Hover the mouse over the date you want the task to start on and click on the + icon that appears.
- Now give the task a name and description. Select a start date and time and also until when the task is due.
- Finally, select who should complete the task. You can either assign the task to a specific person or to team members of a specific role who have access to the rental.
💡 Notes:
- If you need to include something else which is not shown in the form when you create the task, just click Save. Once created, just edit it, and you will be able to include more details on that task.
- If you want to create tasks not linked to a booking on a regular basis, you can create recurring tasks.
New version
A manual task is a type of task that isn’t linked to a specific booking or time interval. You simply choose the start and end time, then add the task details manually.

💡 Note: Only account-holders, admins, and rental managers can create tasks.
To create a manual task, follow these steps:
- Go to the Calendar section and select Tasks.
- Click on the + icon to create a task.
- Choose a rental you want the task to be assigned to, or select “No rental” if you want to create a task that’s independent of a rental, for example an administrative task.
- Keep the toggle Auto-schedule cleaning after check-out toggle turned off.
- Select a date, a start time and an end time for your task.
💡 Note: Currently, tasks can only start and end on the same day. - Then, select the Assignee. Tasks can be assigned either to a role (e.g. “any cleaning staff for this rental”) or to a specific person.
- Toggle on the inspection option if an inspection is required after the task is completed, and select a team member from the drop-down menu as Inspector.
The selected person will be responsible for approving or rejecting the task once the Assignee has completed it. If the task is rejected, it will be marked as incomplete and returned to the list of current tasks. - Add a title and an optional description.
- You can then add a checklist. Checklists help users by providing a clear, step-by-step guide to complete a task, and they help inspectors ensure that tasks are completed in their entirety. You can also require the person completing the task to upload mandatory photos for checklist items. In this case, users must upload a photo for each checklist item before they can mark the task as complete.
- Then click Save.
