A quote allows you to add prices, rental agreements, and policies to a booking. When you add a quote, you give your guests a complete and transparent overview of their booking. The system automatically calculates the exact price based on your price settings. However, you have the freedom to adjust each quote that you create, by offering, for example, a special discount or by adding an extra service.
Also, on the website, guests can make bookings max. 3 years in advance. However, if you want, you can still create a booking manually from the Reservations or the Calendar sections, in case the guest is interested and contacts you directly via Facebook or phone.

Create a booking from Reservations
To create a booking from the Reservations tab, follow these steps:
- Go to your left-hand menu and select Reservations.
- Click Create reservation and select Create reservation with quote.
- A slider will appear where you can fill in the Booking details and Guest details. Then click Next.
💡 Note: On the mobile application, you can also set a default guest number. - On the following page, review the price details and add-ons. You can use the Plus or Cross icons if you need to modify anything, then click Next.
- Choose if you want to keep or deactivate Policy automation, then click Save.
- You will be taken to the reservation page. From there, a blue banner will appear with the message Quote ready to send. Simply click Send quote to send the quote to your guest.
Then, the new booking will appear in your bookings and calendar.
Create a booking from the Multi Calendar
To create a booking from the Calendar, follow these steps:
- Go to your left-hand menu and select Calendar.
- In the top right corner, click the + icon and select Create reservation with quote.
💡 Note: You can also simply click on the calendar on the start date and then click on the end date. A little window will pop up where you can select to create a booking for the selected dates. - A slider will appear where you can fill in the Booking details and Guest details. Then click Next.

- Choose if you want to keep or deactivate Policy automation, then click Save.

Create a booking from the Single Calendar
You can also create a booking from the Single view Calendar. How you do this will depend on your Calendar version. To identify your version, you can go to the Calendar and select your rental from the list. See below how each calendar version looks (Standard or New calendar)

Standard Calendar ▾
You can click on the dates in the calendar and select Create reservation with quote, then follow the same steps as for the Multi Calendar to complete the reservation.
New Calendar (BETA) ▾
You can click on the dates in the calendar and select Add reservation from the right-side panel, then follow the steps as for the Multi Calendar to complete the reservation.
Create a past booking
When connecting to an OTA or starting with Lodgify, not all reservations may be imported — depending on the source, reservation dates, and other factors. You can add these reservations manually. To do so:
Follow the same steps as when creating a booking with a quote, but make sure to deactivate Policy automation.
- Mark the reservation as paid.
- If you'd like to make sure this reservation is properly accounted for in your statements, you can then create the payment for the Statement.
What to do if the quote is not being sent to the guest
If you created a quote and tried to send it, but it didn't go through, it may be because the automatic message is disabled.
To enable the automatic message, you will need to identify your current version of the Messages Inbox.
- Standard Inbox: You will find default notifications and quick replies inside the Settings section of the left-side menu.

New Inbox: You will see an Automate button where you will find scheduled messages, quick replies, and languages.
The availability of the New Inbox is currently limited to some accounts.
Standard Inbox ▾
To make sure it's properly enabled, follow these steps:
- Go to your left-hand menu and select Settings. Now, click Default notifications.
- Next, search for the automatic response "Notify Guest when the host sends a quote" and make sure the toggle is enabled to activate the sending of the quote.
- Then, return to your reservation and resend the quote by clicking Send quote on the blue banner, or by selecting Not sent and choosing Send quote.
New Inbox (BETA) ▾
To make sure it's properly enabled, follow these steps:
- Go to your left-hand menu and select Inbox. Now, click Automate.
- Next, search for the scheduled message "Send quote" and make sure the Lodgify channel is enabled.
- Then, return to your reservation and resend the quote by clicking Send quote on the blue banner, or by selecting Not sent and choosing Send quote.
What is Policy automation
When creating a reservation, you can choose to activate Policy automation. This will help you automate certain tasks, such as:
- Payment schedule
- Cancellation policy
- Security deposit
- Quote expiry
Automate the payment schedule
When Policy automation is activated, the payments will follow the payment schedule configured in the policy enabled for this reservation (for example, 50% at the time of the booking). If disabled, you will need to manually charge each payment for the correct amount.
Automate the cancellation policy
When Policy automation is enabled, if a reservation is cancelled, the cancellation policy will be applied, and a refund may be processed if the conditions are met. If disabled, the refund will not be triggered, and you will need to issue it manually.
Automate the security deposit
When Policy automation is activated, if you have configured a pre-authorized security deposit, it will be pre-authorized at the scheduled date. If disabled, you will need to manually capture the security deposit.
Automate the quote expiry
When Policy automation is enabled, the quote will be set to expire after the time you configured in your policy. This means that if your guest doesn't accept the quote within the allotted time, the quote will expire and the reservation will be cancelled. If disabled, the quote will never expire, and you will need to manually deactivate it.
