Request and add payments manually

Your guest may have only paid the booking deposit and the remaining amount may be due, or you may have set to receive payments via bank transfer or agreed with customers to receive cash payments upon their arrival. All of the above would require you to request payments manually in the system or at least take note of a payment received in order to keep your records up-to-date.

💡  Note: Requesting and adding payments manually from Lodgify is not always an option on all reservations coming from platforms connected by API (e.g. Airbnb, Booking, etc.). It depends on the platform, the payment policy applicable to the reservation, and, if applicable, the type of credit card received.

Request a payment

Your guest may have only paid the booking deposit, and the remaining amount may be due. You can email them a payment request with a reminder to complete any pending transactions before their arrival.

To request a payment manually:

  1. Go to your left-hand menu and select Reservations.
  2. Select the booking that you want to request payment for.
  3. In the Quote box, click on the three dots in the top right corner and select Request payment for ...€.Screenshot 2025-01-14 at 16.48.27.png
  4. The Message slider appears where you can edit the email template if needed and click Send.

💡 Note: In case no Policy and Quote Workflow is activated, you have to request the payment via the Payment collection box at the very bottom of the reservation page.Screenshot 2025-01-14 at 16.49.11.png

Mark an amount as paid

Your guest may have already made a payment via bank transfer or in cash. However, the system can't log this transaction automatically, so you will need to manually mark the booking as paid.

  1. Go to your left-hand menu and select Reservations.
  2. Select the booking that you want to edit.
  3. In the Quote box, click on the three dots in the top right corner and select Mark ...€ as PaidScreenshot 2025-01-14 at 16.48.27.png
    💡 Note: You can also click the button Mark as paid in the blue box.
  4. The Message slider appears where you can edit the email template if needed and click Send.

💡 Notes:

  • If you accidentally mark an amount as Paid, you can reverse it by marking it as Refunded. This will restore the balance due and allow you to request the payment again.
  • In case no Policy and Quote Workflow is activated, you have to add the payment manually via the Payment collection box.Screenshot 2025-01-14 at 16.49.11.png
