Use attachments in your messages (BETA)

💡 Note: This article includes the scheduled messages feature, which is currently in beta. If you don’t see it, please follow this article using the classic instructions instead.

You can attach files to messages sent to guests via the reservation system. In the following, we will show you how it is done.

💡 Note: All normal file types are supported (such as .png, .jpeg, .pdf, .xlsx, .svg, etc.).

Attach files to scheduled messages 

To attach files to messages that are sent by the reservation system when a specific action is triggered in a booking, you need to follow these steps:
💡 Note: Files added will be sent out every time a scheduled message is triggered (it will always be the same file).

  1. Go to your left-hand menu and select Inbox.
  2. Select the Gear icon, then choose whether you want to add a file to a scheduled message or a quick reply.
  3. Once you are in the text editor of the message, click on the attachment icon. A pop-up will open up where you can drag-and-drop or upload your files from your computer.
    💡 Note: The maximum file size that can be attached is 16MB. In case more than one file is attached, the sum of all file sizes cannot exceed 20MB.
  4. If the file was successfully uploaded, it will show at the bottom of the message. Then Save your changes.
    💡 Note: If you want to delete the uploaded file from the scheduled message, just click on the little x icon at the bottom of the page.

Attach files to messages in the reservation system

To attach files to messages that are sent manually in the reservation system, you need to follow these steps:
💡 Note: Files added manually to messages will only be attached to this specific message once.

  1. Go to your left-hand menu and select Reservations.
  2. Enter the respective booking and click Messages in the top right corner.

  3. A new window will open up where you can write your message in the text field or select one of your Saved replies from the drop-down menu.
  4. Once you are in the text editor of the message, click on the attachment icon. A pop-up will open up where you can drag-and-drop or upload your files from your computer.
    💡 Note: The maximum file size that can be attached is 16MB. In case more than one file is attached, the sum of all file sizes cannot exceed 20MB.
     
  5. If the file was successfully uploaded, it will show at the bottom of the message.
    💡 Note: If you want to delete the uploaded file from the automatic response, just click on the little x icon.

Attach files to automatic responses for rental and account contact

To attach files to automatic responses for rental and account contact, follow these steps:
💡 Note: Files added will be sent out every time an automatic response is triggered (it will always be the same file).

  1. Go to your left-hand menu and select Settings.
  2. From the left menu bar, click Automatic Responses or Custom Automatic Responses and select the type of automatic response you want to edit.
  3. Now choose the automatic response and click on the little pencil icon to edit it.
  4. Once you are in the text editor of the message, click on the attachment icon. A pop-up will open up where you can drag-and-drop or upload your files from your computer.
    💡 Note: The maximum file size that can be attached is 16MB. In case more than one file is attached, the sum of all file sizes cannot exceed 20MB.
  5. If the file was successfully uploaded, it will show at the bottom of the message. Then Save your changes.
    💡 Note: If you want to delete the uploaded file from the automatic response, just click on the little x icon.
