Share Rental Availability with Internal iCals

To provide your guests with the option to book either individual rentals or the entire property as a single booking, or to ensure that two rentals cannot be booked at the same time, you will need to set up an internal iCal synchronization. This ensures that availability is automatically updated across all rentals, preventing double bookings and offering a seamless booking experience

💡 Note: Internal synchronizations are iCal based. As a result, it can take up to two hours to synchronize automatically. Learn more about iCal synchronizations.

Depending on your configuration, you may need to create an additional rental and assign it to your website:

  • Between 2 rentals
    If you have two rentals that cannot be booked at the same time, you only need two separate listings, one for each rental.

    If you want to synchronize 2 rentals, you will need to follow this logic:

    1. Add the iCal export link of Rental 1 to Rental 2.
    2. Add the iCal export link of Rental 2 to Rental 1.

    Once this is set up, the system will automatically block Rental 1 when Rental 2 is booked, and vice versa.

  • Between 3 rentals
    If guests can book the rentals individually or both together, you will need three listings: one for each individual rental. and one for the entire property, which represents both rentals together.

    If you want to synchronize 3 rentals, you will need to follow this logic:

    1. Add the iCal export link of the entire property to each individually bookable rental (Rental 1 and 2).
    2. Add the iCal export link of each individually bookable rental (Rental 1 and 2) to the entire property.

    This logic also applies if you need to close more than three rentals at the same time (e.g., Room A, Room B, Room C, and the entire property).
    💡 Note: Whilst this illustration is based on 2 rentals being part of an "entire property", the logic remains the same even if your "entire property" features more than 2 rentals.

    Once this is set up, the system will automatically block the entire property when either of the individual rentals is booked. If the entire property is booked, the system will automatically block all individual rentals.

💡 Note: In order to add a rental to your website, you may need to upgrade your subscription.

Setting up the Internal Synchronization

Here are the instruction to follow for setting up internal synchronization:

  1. First, retrieve the export iCal link:
    Go to your left-hand menu and select Settings.

  2. Select Calendar Import / Export and scroll down to the Export Calendar section.
  3. In the grey field, select the rental for which you want to retrieve the export link. This will show the corresponding iCal link in red below.
    Be sure to select the "Export reservations excluding iCal" option, to ensure the synchronization can work correctly.Screenshot 2025-01-31 at 13.35.10.png
  4. Then, copy and paste this link into another rental:
    In Calendar Import / Export locate the Import Calendar section at the top of the page and click on Add Calendar.
  5. A pop-up window appears. Insert the iCal URL from the above instructions.
  6. Next, from the grey field, select the rental into which you want to paste the iCal link. You will also see your rental's names and IDs, followed by room's names and IDs. 
    💡 Note: If you are using the Room Types legacy feature (which allowed you to create separately rentable rooms within your rental), be sure to select the correct room type for each connection.
  7. Then, name the Source of the link for your reference. For example, "entire property > rental A"
  8. Lastly, click Confirm mapping.

Then, repeat the operation for all your rentals.
