PM Modules - Create recurring tasks

Recurring tasks create jobs that recur on a time basis (such as daily, weekly, or monthly). These tasks are independent of a reservation, and can be assigned to a rental or not.

Create a recurring task

To create a recurring task, you first need to have created at least one Task Template. To learn how to create a task template, have a look at this article. Once a task template is created, you can start setting up recurring tasks. To do so, follow these steps:

💡 Note: Tasks / Jobs are accessible and viewable from the mobile app, but they must be created on the PM Modules website, not on the mobile app.

  1. Go to your Main Menu in the top left corner and select PM Modules
  2. Click Tasks from the left menu bar.
  3. Then choose Recurring tasks and click on the + icon in the bottom-right corner.Screenshot
  4. Now give your task a Title and Description and set up the conditions:
Setting Notes
Enable Switch the toggle on if you want this task to become active straight away.
Priority Give your task a priority (from 1-5 = Low-Urgent), so your staff knows which tasks to prioritize.
Select the rentals where the task is to be performed

💡 Note: This is not compulsory; you can create a recurring task independently of a rental. If no specific rentals are selected, the task will be labeled as "Miscellaneous" on the tasks calendar.

Set the task recurring period Select the date and hour this recurring task will start, and choose if there is an ending date. If there is no ending date, tasks will repeat infinitely.
Set the task recurrence interval

Select the frequency of the task:

Daily: The task repeats on a daily basis, and you can select the number of days between repetitions. For example, selecting 1 day would make the task repeat every day, while selecting 6 days would result in a repetition every 6 days.

Weekly: The task repeats on a weekly basis, and you can select the number of weeks between repetitions. For instance, you can choose a biweekly task by selecting a repetition of 2 weeks.

Monthly: The task repeats depending on your chosen repetition period, which can range from "every 1 month" to "every 12 months".
You must also choose the repetition type:

a. The task repeats on the specific day of the month: for example, you can set the task to repeat on every 14th day of the month.

b. The task repeats on the specific day and week of the month. For instance, you can set the task to repeat on every second Tuesday of the month.

Finally, you define the duration of the task in terms of days, hours, and minutes.

Choose the task template and task assignee

Select one of your task templates from the drop-down menu. Check out how to create a task template.

💡 Note: You can only assign a task to people that have access to all the rentals you selected above.

Task requires inspection

Switch the toggle on if you want this task to be inspected after completion, and then select one of the team members from the drop-down menu as an Inspector.

The selected person will be in charge of Approving or Rejecting the task once the Assignee has completed it. If the Inspector rejects the task, it will be marked as uncompleted and will go back to the list of current tasks.

Important facts about recurring tasks

Now, there are some things you should know about recurring jobs:

  • Deleting a recurring task will only delete the future tasks on the calendar. Past and current tasks should be deleted manually.

  • In the event that a recurring task is not assigned to any specific rental, it will be displayed in the "Miscellaneous" row of the calendar. This allows you to easily identify and differentiate unassigned tasks from those associated with specific rentals.

  • If a task is assigned to a Role, all the members of that role and with access to the Rentals of the recurring task will be able to claim the job. Any person in that role but without access to the rental will not see the task.
