PM Modules - Understand Guest Communication with the Guest App and Online Check-In Form

The Guest App can help you enormously in making the communication with your guest more efficient and provide the guest with important information about their stay at your rental.
Take a look at this article to understand how the communication flow with the guest would look like if you used the Guest App with the online check-in form.

  • In your Lodgify Settings, you have enabled the automatic pre-check-in emails to be sent twice (10 days before arrival and 1 day before arrival in case the guest has not sent you the information yet). With the last email reminder, you will also send an SMS. In the online check-in form, you request the guest to submit their ID number and a picture of the documentation.
  • You have activated the Guest App for the specific rental in the Guest App's Rental Settings and have set up some Guides.

With the above settings, the communication flow will be the following:

  1. Based on the email settings, the guest will receive an email (the sender's name will be your company name), requesting to fill in an online check-in form.

    💡 Note: Airbnb guests will receive the online check-in form in their Airbnb Inbox, not by email.

  2. Once the guest confirms their personal information, they will be asked to fill out the online check-in form.

  3. Once the form has been submitted, the guest will receive a confirmation email with a button to go back to the form's last page and access the guest portal.
    💡 Note: The link to the form will only be accessible until the departure of the guest.
  4. Now the guest will be able to see all the information that you have provided in the Guides of the Guest App, such as check-in information, rules for the rental, or any information you want to share with them. Thanks to the way the app is designed, all these details will be accessible also offline (in case your rental is so remote that your customer does not have internet access). If the guest does not want to or cannot download the app, you can send them the pdf of the guide or a link to download that pdf via email. Learn how. 
    The Guest App also provides a phone number the guest can call on the check-in day in case of need.
  5. All the information provided in the online check-in form will be saved to the reservation, accessible from the desktop version of your Lodgify account:Screenshot 2024-07-05 at 16.57.30.png

💡 Notes:

  • You can also see the online check-in form responses in the PM Modules booking notes.
  • The check-in time provided by the guest on the online check-in form will update the check-in time in the Lodgify reservation, and the tasks scheduled around this time will adjust accordingly.
